Liquid Light Lab — Negative Scanning Terms

These Terms apply exclusively to negative scanning services provided under the trading name Liquid Light Lab, a division of Liquid Light Whisperer Ltd.

By submitting negatives for scanning or placing a scanning-only order, you agree to these Terms.

Liquid Light Lab is a trading name of Liquid Light Whisperer Ltd.

2. Scope of services

These Terms apply to:

  • Scanning of customer-supplied photographic negatives

  • Black & white and colour negative materials

  • Digital file delivery resulting from scanning

Film processing services are governed by separate Lab Terms.

3. Customer responsibilities

You are responsible for ensuring that:

  • Negatives are correctly identified and packaged for transit

  • Negatives are free from excessive contamination that could damage scanning equipment

  • Any specific scanning instructions are communicated clearly at the time of order

We are not responsible for damage arising from inadequate packaging or pre-existing condition issues.

4. Condition of negatives and inherent risk

Scanning does not alter the physical condition of negatives but requires handling.

You acknowledge that photographic negatives are fragile analogue materials and may exhibit:

  • scratches

  • dust

  • base fog

  • density variation

  • manufacturing or age-related artefacts

These characteristics are inherent to the medium and are not defects in the scanning service.

We are not responsible for defects or damage originating prior to receipt of your negatives.

5. Limitation of liability

If negatives are lost or damaged while in our care, our total liability is strictly limited to the lower of:

  • the current retail price of equivalent unexposed film, or

  • the amount paid for the scanning service relating to the affected negatives

We do not accept liability for:

  • loss of images or content

  • loss of income or opportunity

  • reputational harm

  • emotional distress

  • indirect or consequential loss of any kind

Nothing in these Terms limits or excludes liability where doing so would be unlawful under UK law.

6. Turnaround times

Any turnaround times published on the website or communicated by email are estimates only.

Delays may occur due to workload, equipment calibration, maintenance, or technical factors inherent in high-resolution scanning. Turnaround times are not guaranteed.

7. Scanning methodology and output

Scanning specifications are published on the website and form part of the service description.

Scanning is treated as a technical translation stage, not image manipulation.

The objective is to:

  • preserve negative density and tonal structure

  • capture full usable dynamic range

  • deliver files suitable for downstream interpretation or printing

Scanning does not attempt to correct exposure, lighting, or creative intent beyond technical normalisation.

8. Colour, density, and re-scans

Colour balance and density involve professional judgement.

We provide a consistent, technically correct baseline render.

One reasonable re-scan is included only where a clear technical error has occurred, such as:

  • incorrect framing

  • gross colour cast

  • clipping attributable to scanning error

Requests based on creative preference or aesthetic interpretation may incur an additional fee.

9. Digital file delivery and retention

Scans are delivered electronically via WeTransfer or an equivalent service.

Download links remain active for 60 days from issue.

Prior to delivery, files are stored on a secure RAID system for redundancy and upload management.

After delivery, files are retained for 30 days solely to facilitate re-delivery if required. After this period, all files are permanently deleted and cannot be recovered.

You are responsible for downloading, backing up, and archiving your files.

10. Negative return and shipping

Where a scanning service includes the return of negatives, a £3 standard negative return fee is charged.

This fee covers:

  • Royal Mail Second Class postage

  • archival negative sleeves

  • a protective outer mailing sleeve

Royal Mail Second Class is an untracked postal service.

Transfer of risk

Risk of loss or damage to negatives passes to you once the return package has been handed to Royal Mail.

We are not responsible for:

  • delays

  • loss

  • misdelivery

  • or non-delivery by Royal Mail or any other postal service

The negative return fee does not include insurance or guaranteed delivery.

Alternative arrangements

If you require a tracked or insured return method, you must contact us before ordering to discuss whether an alternative arrangement is possible. Availability of alternative arrangements is not guaranteed.

11. Refunds

Once scanning has begun, refunds are not available except where required by law.

Refunds do not include postage already incurred or third-party payment processing fees.

12. Data protection

We process personal data only as necessary to fulfil scanning services and communicate with customers. Full details are set out in our Privacy Policy.

13. Governing law

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction.
